Job Summary and Responsibilities

We are seeking a highly organized and detail-oriented Fleet & Indirect Procurement Specialist to support the day-to-day management and administrative functions of our fleet operations. This individual will be responsible for maintaining accurate records, coordinating vehicle maintenance schedules, assisting with compliance documentation, and supporting the efficient operation of our fleet. This role will also support in managing non-production (indirect) goods and services. This role will assist with supplier coordination, purchase order processing, contract administration, and compliance monitoring to ensure smooth procurement operations and cost efficiency.

 

ESSENTIAL DUTIES & RESPONSIBILITIES

 

  • Maintain and update fleet databases, vehicle records, and asset tracking systems.
  • Schedule routine vehicle maintenance, inspections, registrations, and repairs.
  • Assist with fleet acquisition, leasing, and disposal processes.
  • Monitor fuel usage, mileage, and maintenance costs; prepare related reports.
  • Ensure compliance with company policies, government regulations, and safety standards (e.g., DOT, FMCSA, EPA).
  • Coordinate with vendors, insurance providers, and service centers.
  • Process vehicle-related invoices and maintain budget tracking logs.
  • Assist with driver onboarding, license checks, and vehicle assignment.
  • Support audits and reporting related to fleet operations.
  • Provide administrative support to the Fleet Manager and Operations team.
  • Maintain procurement records and documentation, ensuring completeness and compliance with internal policies.
  • Support sourcing efforts by gathering quotes, supplier information, and assisting with bid analysis.
  • Coordinate with internal stakeholders to ensure timely delivery of services and goods.
  • Assist with vendor onboarding, qualification, and performance tracking.
  • Support contract lifecycle management by tracking expirations, renewals, and ensuring documentation is filed appropriately.
  • Collaborate with Accounts Payable to resolve invoice or payment discrepancies.
  • Assist with procurement reporting, spend analysis, and KPI tracking.

Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • 2+ years of administrative experience, preferably in fleet, transportation, or logistics.
  • Proficient in MS Office Suite (Excel, Word, Outlook); experience with fleet management software is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Knowledge of vehicle maintenance and DOT compliance is an asset.
  • Lean and/or Six Sigma experience a plus
  • Familiarity with procurement processes, purchasing terminology, and supplier management.
  • Exposure to contract management or vendor compliance practices

Pay Range in the United States: $24 - $36 based upon geography, skills, and experience.  May also be eligible for performance incentive opportunity based on company and individual goals and performance.
